To create a new project, click on Projects from the Navigation menu to open the Projects view. Near the top right, click on the More Options drop-down to access additional functions.
Create New gives the option to create a new Time & Materials Project or a Fixed Price Project. Select the type of project you'd like to create, be it Fixed Price or Time & Materials.
The information entered in the project detail section will be used throughout the project cycle and in many areas of centerpiece.
Project
Number - A unique identifier for the project. You can use alphanumeric or special character to identify your project.
Name - A description of the project. You may have established this name during the proposal phase. It's used in the navigation tree and card views, and in the header of reports and invoices.
Type - Either Fixed Price project or a Time and Materials. A fixed price project has an established budget for each project related task and expense, while a time and materials based project will have several work orders issued by the client to be completed over an indefinite period of time without any budget.
Status - An indicator to visually see the status of the project. It can be configured and customized in Settings. Some statuses are already created for you:
- Active (GREEN) - This status name cannot be changed
- Completed (GREY) - This status name cannot be changed
- Not Started (YELLOW)
- Requires Help (MAGENTA)
- Waiting On-Hold (TEAL)
Customer
Name - This is the client of the project. You can create new customers on the fly by clicking the [+] button next to the customer drop-down. This will open a New/Edit Customer modal. For more information on this view, see Creating & Managing Customers.
Project Manager - The primary client management contact for the project, displayed on invoices and budget reports. A list of contacts are maintained with the Customer.
Billing Contact - The primary contact for billing for the client, displayed on invoices and budget reports. A list of contacts are maintained with the Customer.
Service Reports - For Time & Material Projects only. A Service Report is a detailed description of the work carried out by an employee. It will contain the number of hours, notes about the task on each given day and expenses occurred. For more on Service Reports, see Generating & Updating Service Reports.
Team
Project Manager – A team member who is the primary contact for the project. They would have rights to approve/reject tasks and expenses.
Team Lead – A team member with permission to approve/reject tasks and expenses.
Financial
Currency - The currency that your client will be paying for their invoices. This currency will be displayed on invoices, expense reports, and budget views throughout the app.
Default Budget View - The drop-down default when accessing the project budget.
Tax 1 and 2 - Tax information fields. Enter a label, which will appear on invoices and a % for how much tax to charge.
Add Legal Name to Invoice - Add your corporation legal name under your corporate name and address.
Billable Project - Indicates whether this project will be billable. On the Budget and Executive views, you can query between Billable and non-Billable projects.
Purchase Order Number – Clients often issue a Purchase Order for a project. Enter the Purchase Order Number that was issued by the client, if you have one. Purchase Orders can be assigned individually to each Estimate Group. This field is only available for Fixed Price Projects.
Critical Success Factors (CSF)
Industry - classifies the project belonging a specific section of industry. Usually this will be the area of work that your client is in. This field will be used in further detail in the Executive View.
Geography - where the project work will take place. This field will be used in further detail in the Executive View.
Scope - the type of work that your team will be executing. This field will be used in further detail in the Executive View.
CSF Popup - Hit the Edit button to edits the lists for Industry, Geography and Scope.
Save It
Once you've finished filling out the required fields, hit the Save button. The project will now show up in the navigation tree and the Projects View. The project number is green to indicate the project status is Active.
